WIM TRACKING DATA SHARING GUIDELINES

WIM Tracking works diligently to make provider data useful and accessible. In order, to continue to provide this valuable information to organizations, WIM expects users to respect the efforts put forth in collecting and maintaining the data and demonstrate professional courtesy by abiding by the following data sharing guidelines.

One-time Data Downloads:  Individuals may request a custom data list from jena@wimtracking.com or from the WIM website for purchase. Individuals who pay for and receive a WIM dataset by email or download fall under the data sharing guidelines as outlined below under “Individual User License”.

Licensing Agreements: WIM Tracking offers Individual User Licensing and Group Licensing to the WIM Online Directory.

  1. Individual User License: An Individual User is one person representing him/herself solely or as employee within an organization. An Individual User purchased one user license, received one user login and adheres to the following data sharing guidelines.
    • The Individual User may share a WIM Map, WIM Report (count of providers) or PDF Print Directory with any person inside or outside of the Individual User’s organization.
    • The Individual User may only share a data list downloaded from WIM with another person who is working directly within the Individual User’s work-based project or is employed by the same workplace umbrella. A workplace umbrella is a department within an organization’s legal structure.
    • An Individual User may upload a WIM dataset into a database as long as the data cannot then be downloaded by a member of the public or by a person outside of the Individual User’s workplace umbrella.
    • An Individual User may share the Individual User’s WIM login credentials to a person employed by the same workplace umbrella.
    •  Examples of a compliant data share:
        • Individual User sends a WIM data list to a third party mailing company for a mailing sent out from the Individual User.
        • Individual User provides a WIM data list to a coworker inside of the Individual User’s workplace umbrella for the coworker’s mailing.
        • Individual User uploads a WIM data list into a public facing online directory that has no data download capabilities.
    • Examples of a non-compliant data share:
        • Individual User provides a WIM data list to a coworker outside of the Individual User’s workplace umbrella for a project unrelated to the Individual User.
        • Individual User provides a WIM data list to an organization outside the Individual User’s organization for a project unrelated to the Individual User.
        • Individual User provides login information to a person outside of the Individual User’s workplace umbrella.
  2. Group License: A Group is a set of ten or more Group Users paid in full by one organization.  The Group Users must be employed by the subscribing organization or a member of the subscribing association. A Group purchased ten or more user licenses, received ten or more user logins and adheres to the following data sharing guidelines.
    • The Group User may share a WIM Map, WIM Report (count of providers) or PDF Print Directory to any person inside or outside of the Group User’s organization.
    • The Group User may share a data list downloaded from WIM with another person employed by the same organization or member of the association.
    • A Group User may upload a WIM dataset into a database as long as the data cannot then be downloaded by a member of the public or by a person outside of the Group User’s organization or association.
    •  Examples of a compliant data share:
        • Group User sends the data list to a third party mailing company for a mailing sent out from the Group User.
        • Group User provides a WIM data list to a coworker inside of the Individual User’s organization for upload into an internal database.
    • Examples of a non-compliant data share:
        • Group User provides a WIM data list to an organization outside the Group User’s organization.
        • Group User uploads a WIM data list into a database that allows public users to download the data.
  3. Individual Users and Groups may request exceptions to these guidelines in writing to jena@wimtracking.com.
